This role will work with the Company Secretary and the Executive team providing company secretarial administration support to the Company Secretary and PA / Secretarial support to the CEO and the rest of the senior management team as required.

 

The successful candidate will have an appreciation of the need to be discrete and diplomatic due to the nature of the work being undertaken by the Board, Company Secretary and Executive team.  You will be able to communicate effectively, while being open, honest and receptive to direction, support and influence. 

 

Support to the Company Secretary:

  • Scheduling, organising and servicing meetings of the Board and Executive Committees / Sub-committees, including setting deadlines for pack production and communicating these to all stakeholders ahead of time.
  • Assisting with the Committee / Sub-committee meetings: collating the packs, minuting the meetings (for review by the Company Secretary where applicable), ensuring that management follow up on all assigned actions, etc.
  • Assisting with the completion / collation of data in support of submissions to the Regulator and Companies House.
  • Production of reports, presentations and various communications in line with company standards.

 

Support to the CEO and the rest of the Executive Team:

  • Day to day administrative support, e.g. management of Calendars / scheduling of meetings.
  • Co-ordination of travel (flights, hotels, taxis, etc.) and collation of meeting and travel packs if required.

 

Skills & Experiences required:

  • Extensive secretarial or administrative experience, preferably within a Company Secretarial field.
  • An advanced level of proficiency in MS Word, Excel & PowerPoint 
  • Meticulous planning and attention to detail.
  • Resilient and composed under pressure, with the ability to work on their own and prioritise requests from multiple stakeholders. 
  • High recognition for the importance of confidentiality.
  • Proactive, always seeking to improve.
  • Experience of Board meetings and minute taking.
  • Able to foster positive working relationships at all levels.
