Job title: Facilities Administrator (12 month Fixed Term Contract)
Location Newbury / Head Office
Hours: Wednesday – Friday 9.00 am - 5.00pm (21 hours)
Salary: £15,000 (£25k full time equivalent)
Introduction
We have an exciting opportunity for a Facilities Administrator to join our Facilities Team.
In this role, you will provide essential administrative support to help ensure the safe, compliant and efficient delivery of facilities services across the Society. You will work closely with colleagues, suppliers and contractors, delivering excellent customer service while supporting the day-to-day operation of our facilities function.
This position would suit someone who is highly organised, enjoys working collaboratively and takes pride in delivering a professional service.
Key Responsibilities
You will:
- Support the Facilities Team in responding to requests received through the Facilities Helpdesk system (CAFM).
- Administer the CAFM system, including raising and closing work requests, maintaining documentation, raising purchase orders and updating asset records.
- Manage the Facilities Team mailbox, ensuring queries are addressed promptly and escalated where necessary.
- Complete a range of administrative activities, including invoice reconciliation and access control administration.
- Coordinate stationery orders for branch distribution.
- Liaise with suppliers and contractors to support the delivery of facilities services.
- Help ensure the Society continues to provide a safe and compliant working environment.

- Strong organisational and planning skills, with the ability to manage multiple priorities and meet deadlines.
- Excellent attention to detail and the ability to maintain accurate records.
- A customer-focused approach with experience of delivering high-quality service to internal and/or external customers.
- Strong communication skills, both written and verbal.
- Confidence using Microsoft Office applications, including Word, Excel, Outlook and Microsoft 365.
- A collaborative approach and willingness to support colleagues across the business.

Essential skills and experience
- Ability to demonstrate strong organisational skills to effectively meet deadlines and adapt to change
- Experience of working with internal and/or external, customers to ensure the highest quality service experience.
- Strong attention to detail and ability to maintain accurate records and documentation
- Competent in the use of Microsoft packages - Word, Excel, Outlook and Office 365.
Desirable skills and experience
- Driving licence.
- Experience in an administrative or coordination role.

- 90-minute competency-based interview held in Newbury Head Office.
